Welcome to Geenens Psychiatry. By scheduling an appointment, using our website, or receiving services from our practice, you agree to the following Terms & Conditions.
1. Private Pay Practice
Geenens Psychiatry is a private-pay psychiatric practice. We are not affiliated with, contracted with, or in-network with any insurance providers, including Medicare and Medicaid.
Patients are solely responsible for all fees associated with services provided by Geenens Psychiatry.
2. Appointments
Geenens Psychiatry offers in-person, telehealth (video), and telephone appointments.
Patients are responsible for arriving on time for their scheduled appointment. Telehealth patients should log in 5–10 minutes before their scheduled appointment time using the link provided via email or text message.
For telephone appointments, the provider will call the patient at the scheduled appointment time.
Patients who arrive late may be required to reschedule and may be charged the full appointment fee. Appointment times are reserved specifically for each patient, and late arrivals may prevent the provider from completing a thorough evaluation and documentation.
3. Cancellation Policy
We understand that circumstances may require appointment changes. To avoid cancellation fees:
Established patients must provide at least 24 hours' notice when canceling or rescheduling an appointment.
New patients must provide at least 48 hours' notice when canceling or rescheduling an initial intake appointment.
Appointments canceled with insufficient notice are subject to the full appointment fee.
4. Missed Appointments and No-Shows
Patients who fail to attend a scheduled appointment without proper notice are responsible for the full appointment fee.
Patients with unpaid balances resulting from missed appointments or late cancellations must satisfy the outstanding balance before scheduling future appointments.
For new patient appointments requiring a deposit:
Deposits are fully refundable when cancellation notice is provided at least 48 hours before the appointment.
Deposits become non-refundable when notice requirements are not met.
Any remaining balance associated with the appointment remains due.
5. Payment Terms
Payment is due on the day services are rendered.
Patients authorize Geenens Psychiatry to process payment using the card on file on the date of service.
Accepted forms of payment include:
Credit and debit cards
HSA/FSA cards
Checks
Money orders
Cash
Balances not paid on the appointment date may incur a $10 late fee.
Payment arrangements may be available for established patients at the discretion of the practice.
6. Card on File Authorization
All patients are required to maintain a valid payment method on file.
The card on file may be used for:
Scheduled appointment charges
Missed appointment fees
Late cancellation fees
Administrative fees for forms, letters, reports, or other requested documentation
By receiving services from Geenens Psychiatry, you authorize these charges in accordance with our policies.
7. Prescription Management and Standard of Care
For patients prescribed Schedule II controlled substances, follow-up appointments are required at least every 90 days in accordance with clinical standards and prescribing regulations.
Prescription refill requests outside of the required follow-up period will be reviewed on a case-by-case basis.
A $50 fee may apply for a one-month courtesy prescription provided outside the standard appointment schedule.
Geenens Psychiatry reserves the right to determine whether prescriptions will be issued, renewed, modified, or discontinued based on clinical judgment and patient safety considerations.
8. Communication
Geenens Psychiatry strives to respond to patient communications on the same business day whenever possible and within 24 business hours in most cases.
Response times may vary based on provider availability, weekends, holidays, emergencies, or other unforeseen circumstances.
Electronic communications should not be used for medical emergencies. If you are experiencing a medical or psychiatric emergency, call 911 or go to the nearest emergency room immediately.
9. Limitation of Liability
Geenens Psychiatry shall not be liable for delays, interruptions, technical failures, or circumstances beyond our reasonable control that impact scheduling, communication, telehealth services, or website availability.
Nothing in these Terms & Conditions limits any rights or protections available under applicable federal or state law.
10. Changes to These Terms
Geenens Psychiatry reserves the right to modify these Terms & Conditions at any time. Updated versions will be posted on our website and become effective upon posting.
